Dr. Manning enjoys being your family doctor and taking care of you and your family.

 

Manning Family Medicine is an innovative and unique practice, which may be different than a clinic you have been a patient at before. Certain policies are necessary to ensure a sustainable and effective physician-patient relationship. Violation of these policies may result in the termination of this relationship. 

Technology

To be a patient at Manning Family Medicine you must have an active email address (check it regularly); a commitment to use the online scheduler and patient portal is required. You are encouraged to schedule your own appointments using an online scheduler called Medeo. It is also used to receive secure communication from Dr. Manning. Most patients find Medeo is convenient and easy to use. For those absolutely unable to do so, exceptions will be made on a case by case basis. You may designate a family member or friend to schedule appointments and receive communications for you with prior approval by Dr. Manning.

 

Your email is your access for clinic communications and for simple administrative concerns. Dr. Manning's office will send a secure message to your email. (ie: your appointment has been confirmed).  To retrieve the email information, you will be assigned a unique and individualized password to access the system.  Dr. Manning will always communicate important or sensitive results in person and for this you may need to book another appointment. (ie: your tests results are in and she requires you to book an appointment to review). 

Online Scheduling

Quick, convenient and easy to use. Patients are encouraged to book appointments online for convenient scheduling 24/7. Almost all appointments are booked online. This is faster for patients and reduces office expenses, allowing resource redirection to the patient experience. For those unable to do so, appointments can be done via phone. However, very few elect for this option.

Appointment Length

Dr. Manning allocates 15-30 minutes for each appointment. During this time, not only do patients share their concerns, but Dr. Manning must document, complete necessary paperwork and perform a pertinent physical exam if required. If this is not enough time, you will be asked to return.

One-Appointment, One Person

Doubling up on patients’ concerns prevents Dr. Manning from being comprehensive and does not allow for appropriate documentation.

Communicating with Dr. Manning

For simple issues, Dr. Manning will send a secure email message using Medeo. Sensitive information or complex issues will be communicated in person or via virtual appointments.

 

The fastest way to get in touch with Dr. Manning is by email. No medical issues are discussed outside a virtual or office visit. Please do not include sensitive, detailed or private information in emails or voice messages. For most issues, questions, form completion, prescription refills etc, please book an appointment.

Insurance or Third Party Forms

Insurance applications and/or third party forms require an appointment for completion. This ensures the information is correct and up to date. Completion of these forms is an "uninsured service" with OHIP, therefore, a charge applies.

Chart Transfer

A charge applies, per OMA rates, as this is considered an "uninsured service" by OHIP.

Results

For non-urgent results Dr. Manning will use the secure patient portal messaging system. Patients will NOT be contacted if results are normal. However, patients can book a virtual appointment for reviewing their normal results. Dr. Manning does not email or fax results to patients or other providers; an appointment is required to obtain.

Timeliness, Missed Appointments & Cancellation Policy

If a patient is more than 15 minutes late, the appointment will be cancelled and a fee of $50 - $100 applies. Please let Dr. Manning's office know by either email or phone if you are running behind. 

 

24 hours notice is required to cancel an appointment. Failure to do so results in a $50 - $100 charge. Appointments can be cancelled by calling or emailing Dr. Manning's office, log into the online scheduler or respond to the text reminder. After three missed visits the doctor-patient relationship will be terminated.

Office Hours & Closures

Dr. Manning is away from the office periodically. During these times, messages, results and clinic will be reviewed and covered by locum physicians or emergency coverage, as needed.

Same-Day Access

If a same-day appointment for a semi-urgent concern is required, contact Dr. Manning's office or see After Hours Care for other options. You may also visit a walk-in clinic; please provide Dr. Manning's name so that she can be sent a copy of reports. 

Pharmacy Care

Patients are welcome to fill their prescriptions at whichever pharmacy they choose, however, Dr. Manning recommends patients use only one pharmacy for continuity and patient safety. This way, the pharmacist is familiar with all of your medications and can catch errors or interactions and even provide prescription extensions.

Prescription Refills 

Appointments are required for prescription refills. Dr. Manning does NOT do routine fax refills. Please endeavor to book an appointment several weeks before your medication runs out.  Occasionally your pharmacist may be able to offer, at their discretion, a short extension on your prescription.  If desperate, please have your pharmacy contact Dr. Manning directly; charges apply, as this is an uninsured service.

Vaccinations

Dr. Manning supports and encourages vaccinations. 

Work Leave

Dr. Manning believes work is an integral part of a person's life, and is supportive of physical and mental health; therefore, all requests are treated with discretion.

Payment

Payments for uninsured services or fees can be made by cash, debit, or credit card.

Termination of Doctor-Patient Relationship

Dr. Manning reserves the right to terminate the doctor-patient relationship as per the conditions documented in the "Patient Contract" and documented on the website. Failure to comply with the contract terms will result in termination.  If a patient is terminated, they will be informed by secure email messaging, phone or in person. No further appointments will be accepted. They are then responsible to find care elsewhere; Dr. Manning will provide 30 days of care for emergent issues. Records will be transferred with a fee. The most common reason for termination is disrespectful behaviour and/or repeated lateness or missed appointments.

Termination of Doctor-Family Relationship

In order to provide the best medical care for a child, a respectful working relationship between the parents(s) and doctor is necessary. If a parent is terminated from Dr. Manning's practice, this relationship is compromised; therefore, it is no longer appropriate for Dr. Manning to care for their children. As such, a referral to paediatrics will be offered and chart transferred at no charge. Dr. Manning will provide 30 days of care for emergent issues.
